Manage User Access in an RCMS Company Account

Manage User Access in an RCMS Company Account

Manage the people who can access your RCMS company account as responsibilities change. On the Users page, you can enable or disable an account and update its assigned role or description.

Before you begin: Sign in to the correct company with permission to manage users. Check the user's email address before changing their access.

Find the user

  1. Select your user name in the upper-right corner and select Users. Alternatively, in the Account area, select Users under Account Settings.
  2. Search for the user's account and locate the matching row. Check the email address and role to identify the right user.

Open Users under Account Settings.

Enable or disable a user

  1. In the user's row, find the Status switch.
  2. Turn the switch on to enable the user, or off to disable the user. Confirm the change if prompted.
  3. Check the switch in the user's row to confirm the setting.

Disabling a user prevents them from signing in until the account is enabled again. The Invitation Status field is separate from the access switch: Pending means the invitation has not yet been accepted, while Accepted means the invitation has been accepted.

Edit a user's role or description

  1. In the user's row, select the Edit icon in the Action column.
  2. Choose the appropriate Role Name or update the Description.
  3. Select SAVE, then check the user's row for the updated information.

The role determines the permissions assigned to the user; the description helps identify the person's purpose or team. In the example below, Read-Only(Default) is the selected role and Site operations is the description. Choose a role and description appropriate for your user.

Each user has one assigned role. The user account email cannot be changed in this form. To define a role, see Create a Role and Set Permissions in RCMS.

If the controls are unavailable, check that you selected the correct company and have permission to manage the user. Contact your company administrator if you need access.
